Detailed Itinerary & Frequently Asked Questions

Guests arrive in Santiago, Chile on Tuesday morning, Nov. 10, 2015. They will be met outside customs at the airport and escorted to the host hotel, the Sheraton San Cristobal.

A welcome reception will be held that evening at the hotel, starting at 7pm in the garden “El Bohío” restaurant. (More details will be provided nearer the time.)

On Nov. 11, 2015 at approximately 9:30am buses will pick up guests at the Sheraton and transport them to the airport for a one-hour charter flight to La Serena, arriving around 12pm.

Upon arrival in La Serena, buses will transport guests from the airport to the GMT site located at the Las Campanas Observatory (LCO), about a two hour and fifteen minute drive from the airport. Water, other beverages and sandwiches will be provided on the bus.

Upon arrival at LCO at approximately 4pm, light appetizers and cold beverages will be served to guests with an opportunity for socializing and mingling. All activities on the mountaintop will be carried out under a comfortable and well-equipped tent.

The official ceremony will begin at about 5:30pm and will last approximately 1 hour. Speeches will conclude by 6:30pm and guests will adjourn for a sit-down, catered dinner.

Following dinner there will be the opportunity for photos on the mountain, enjoying what we expect to be a breathtaking sunset and the unique opportunity to observe the dark sky of Las Campanas, with the naked eye and through telescopes generously set aside for the guests by the Las Campanas Observatory – a 1 meter telescope and one of the Magellan 6.5 meter telescopes.

The event on the mountain will end at approximately 11:30pm. Attendees will be delivered to their hotel in La Serena and will check-in on arrival. We plan to have your luggage in your room and your door keys waiting for you, to speed up check in. (Please keep in mind that La Serena is a small town and that, in terms of quantity and quality, the hotels offered are not the same as in Santiago. Rest assured that we will try hard to make your stay easy and comfortable. Receiving your travel plans will be a great help to us.)

On Nov. 12, after breakfast at the hotel, buses will pick up guests from their hotel in La Serena at around 10am and take them to the airport for the charter flight return to Santiago. The flight will depart mid-morning and arrive in Santiago at around 12pm in time to catch the international flights to the US, Brazil, Korea and Australia.

Frequently Asked Questions

Do I have to book my own hotel rooms?

No, GMTO will allocate rooms based on your travel plans for the night of Nov. 10 and, if you require early check in, for Nov. 9. If you require special hotel arrangements in Santiago we ask that you contact the hotel directly: Sheraton Santiago Hotel & Convention Center:

How do I get from the airport to the Sheraton San Cristobal?

Arrival on Nov. 10: If you provide us with your arrival flight time, there will be transport waiting to collect you from the airport.

Arrival on Nov. 9 or another day: you will need to make your own transfer arrangements. The address of the hotel is: Sta María 1742, Santiago, Providencia, Región Metropolitana.

By all means, use the official transportation companies inside the customs area, before exiting. Do not use the “barkers” outside this area. TRANSVIP and DELFOS are two well known companies that you can use, but there are several more.

Can I check-in early at the Sheraton?

Arrival on Nov. 10: if you inform us in your registration form that you arrive before 3pm you will be given early check-in.

Arrival on Nov. 9: check in is at 3pm. If you require it, you will need to arrange early check-in directly with the hotel.

Is breakfast included with the room?

Yes, breakfast be provided both on the morning of Nov. 10 and on Nov. 11 at the Sheraton. Breakfast will be held in the TwentyOne Lounge from 6am to 10:30am.

Breakfast will also be provided on the morning of Nov. 12 in La Serena.

What are the details of the Welcome Reception on the evening of Nov 10.?

The event will start at 7pm in the garden “El Bohío” restaurant. The dress code is informal.

There will be sufficient food to constitute dinner at the Welcome Reception. If you require dinner after the event, you will need to make your own arrangements.

What will the weather be like?

In Santiago the weather is likely to be dry with a high of around low 80s F / 28 C and a low of mid 60s F / 16 C.

At the GMT site, late afternoon temperatures are likely to be mid 60s F / 18 C, and the evening temperatures could drop as low as low 60s F / 16 C. We suggest you bring a light jacket to wear in the evening.

What is the dress code?

Dress code for the event at LCO is Business Casual. Please wear solid shoes (flat, closed toed). For men: no tie required, sports jacket ok. Do not wear jeans or shorts. We recommend you dress in layers, and you will probably need a sweater and a light parka or jacket.

Will there be press/media there?

Yes, we are expecting some US and local media at the event. There will also be a photographer on site.

Are there bathroom facilities at the site?


What first-aid is available at the site?

There will be an ambulance on site and a paramedic with all the basic requirements to treat headaches, slight altitude discomfort, etc.

When we arrive back at Santiago airport, can you arrange hotels, tours etc?

GMTO’s responsibility for our guests will end on arrival back at Santiago airport. We are happy to make recommendations of things to do in the area but we cannot make any arrangements for you.
